Orbari Manual

A practical guide to the screens in Orbari: add people, fill out profiles, log catch-ups, review extracted details, connect family and friends, and keep your data portable.

Quick start

Your first five minutes

Open People

The People screen is your home base. On iPhone, the bottom bar gives you Settings and New Person. On iPad and Mac, the same actions appear in the toolbar or sidebar layout.

Create a New Person

Start with Full name. Add Work and Notes if you already know them. You can leave almost everything blank and fill it in later.

Use Add

Open a profile and use Add for catch-ups, tasks, contact info, dates, facts, custom details, gifts, debts, relationships, and people in their orbit.

Review before saving

When Orbari reads text or a recording, it shows a Review screen. Tick what belongs, untick what does not, then choose Add to Orbari.

People

Use the People list

Add someone from the empty state
  1. Open People.
  2. If the list is empty, choose Add Person.
  3. Fill in the New Person form and choose Save.
  4. The new profile appears in your list.
Add someone when you already have people
  1. On iPhone, use the New Person button in the bottom action bar.
  2. On Mac, use New Person in the toolbar or File menu.
  3. On iPad, use the add action in the people interface.
  4. Use Save when the profile is ready.
Use the list tools

The People list can search, filter, and sort your orbit. It also has shortcuts for Add from Text or Recording, Interviews, Family & Pets, Tasks, Tree, and Constellation views when those tools are available on the current device.

New Person

Fill out the New Person form

Name
  1. Enter the person's Full name.
  2. If Orbari shows Family name suggestions, choose one to keep surnames consistent across relatives.
  3. Use Custom initials only if you want the avatar letters to differ from the automatic initials.
Work
  1. Add Job title if it helps you remember what they do.
  2. Add Company if that context matters.
  3. Leave both blank for personal contacts where work is irrelevant.
Notes

Use Notes for the broad things you want visible on the profile: how you know them, what they care about, or anything you want to remember before reaching out. The placeholder in the app is Anything you want to remember.

Save or cancel

Save creates the profile. Cancel closes the sheet without adding anything. The free version lets you keep up to five people before unlocking Orbari.

Profiles

Understand a person's profile

Header

Name, avatar, work line, notes, lifespan marker, and identity details appear at the top.

Names & pronunciation

Alternate names, names in other scripts, phonetic spelling, pronunciation audio, and terms of address.

Contact

Phone, email, social profile, website, and address entries. Tapping a row can call, email, open, or copy.

Important dates

Birthdays, anniversaries, first met dates, passed-away dates, and custom dates.

Follow-ups and tasks

Promises, due dates, and follow-ups from catch-ups live close to the person they belong to.

Relationships

Full contacts, relatives, friends, pets, and people tracked under someone else's orbit.

Edit the base profile
  1. Open the person's profile.
  2. Open Add.
  3. Choose Edit Person.
  4. Update Full name, Custom initials, Work, or Notes.
  5. Choose Save.
Add menu

What each Add action does

Log Catch-up

Use this after a conversation. It opens Log Catch-up, where you choose When did you catch up?, Kind, What did you talk about?, optional Recording, and Follow-ups.

Add Task

Creates a New Task. Add a task title, optional Details, and optionally Set a due date. If you start from a person's profile, the task belongs to that person.

Reach & remember

Add Contact Info creates phone, email, social, website, or address entries. Add Important Date creates birthdays, anniversaries, first-met dates, passed-away dates, or custom occasions.

Add Contact Info
  1. Open a profile and choose Add, then Add Contact Info.
  2. Choose Type: phone, email, social, website, or address.
  3. Use one of the suggested Label chips, or type your own label.
  4. Enter Details. Orbari changes the field to suit the type you picked, such as phone number, email address, handle, URL, or street address.
  5. Choose Save.
About them

Add Fact stores a useful note. Add Detail / Custom Field stores a typed field such as Favourite colour, Dietary needs, Date, Number, URL, Colour, or Yes/No. Add Name / Pronunciation stores names in other languages or scripts. Add Term of Address stores what you or someone else calls them.

Add Fact
  1. Open a profile and choose Add, then Add Fact.
  2. Write the fact in the Fact field.
  3. Choose Type.
  4. For a location fact, choose Choose on Map if you want Orbari to attach a place.
  5. For a date-like fact, choose Interpret date to preview the resolved date.
  6. Choose Save.
Add Detail / Custom Field
  1. Open a profile and choose Add, then Add Detail / Custom Field.
  2. Choose a saved field, or choose Custom field.
  3. For a custom field, enter Label and Type.
  4. Turn on Make available for everyone when you want to reuse that field across profiles.
  5. Enter the Value. Field types can include text, long text, URL, number, date, colour, and yes/no.
  6. Choose Save.
Add Name / Pronunciation
  1. Open a profile and choose Add, then Add Name / Pronunciation.
  2. Enter Name in any language or script.
  3. Choose Type and Language.
  4. Add How it sounds when you want a romanization, respelling, or IPA note.
  5. If recording is available, use Record pronunciation for a short audio clip.
  6. Turn on Show under their name when this should appear beneath the main name on the profile.
  7. Choose Save.
Add Term of Address
  1. Open a profile and choose Add, then Add Term of Address.
  2. Enter the term, such as Ayi, Sensei, or Uncle Ben.
  3. Use Used by to record who calls them this. It defaults to You.
  4. Add How it sounds if pronunciation would help.
  5. Choose Save.
Gifts & money

Add Gift stores gift ideas with notes, links, price, and status. Add Debt or Loan stores whether I owe them or They owe me, the amount, and the reason.

Add Gift
  1. Open a profile and choose Add, then Add Gift.
  2. Enter Gift, such as Climbing chalk bag.
  3. Add Notes for size, where you saw it, or why it suits them.
  4. Add Link and Price when useful.
  5. Choose Status.
  6. Choose Save.
Add Debt or Loan
  1. Open a profile and choose Add, then Add Debt or Loan.
  2. Choose Direction: I owe them or They owe me.
  3. Enter Amount.
  4. Enter Reason, such as Concert tickets.
  5. Choose Save. When editing later, use Settled to mark it done.
Their people

Add Relationship links this person to another full contact. Add to Their Orbit tracks a person or pet under this profile without using a full contact slot.

Add from text

Paste, record, extract, review

Start Add from Text or Recording
  1. Open People.
  2. Choose Add from Text or Recording.
  3. Paste a message thread, email, transcript, or rough notes into Text.
  4. On devices with recording available, use Record a catch-up instead, then Stop & transcribe.
  5. Choose Extract.
Review extracted people
  1. On the Review screen, each person gets a checkmark toggle.
  2. Use the match badge to keep a new person, link to an existing person, or make a matched person new.
  3. Untick people or facts that do not belong.
  4. If Orbari spots Possible duplicates, choose Merge or Keep separate.
Review relationships and catch-up
  1. In Relationships, tick only the links that are correct.
  2. In Catch-up, turn Log this catch-up on or off.
  3. Choose With to decide whose profile receives the catch-up.
  4. Choose Kind if the type of catch-up needs changing.
  5. Choose Add to Orbari when the review looks right.
Catch-ups

Log a conversation by hand

Open Log Catch-up
  1. Open a person's profile.
  2. Choose Log Catch-up. On iPhone, it may appear as the prominent bottom action on the profile.
  3. Set When did you catch up?
  4. Choose Kind.
  5. Write notes under What did you talk about? Bullet points are great.
  6. Choose Save.
Record this catch-up

If Recording is available, choose Record this catch-up. Orbari keeps the recording on your device so you can listen back later, and it will try to fill in your notes from what was said.

Add follow-ups
  1. Dates mentioned in your notes can appear under Suggested follow-ups.
  2. Choose a suggestion to add it.
  3. Use Add follow-up to add one yourself.
  4. Set Title, On, and Add to.
  5. Save the catch-up.
Relationships

Link people, family, and pets

Add Relationship
  1. Open a person's profile.
  2. Choose Add, then Add Relationship.
  3. Under Connect to, choose the other full contact.
  4. Under Relationship, choose Type.
  5. For family types, choose Kind when needed: Full / Biological, Half, Step, Adoptive, Foster, or Social.
  6. Read the sentence preview, then choose Save.
Add to Their Orbit
  1. Open a person's profile.
  2. Choose Add, then Add to Their Orbit.
  3. Enter the person's name or pet's name.
  4. Choose Type: person or pet.
  5. Choose Relation. For pets, you can also add Breed / details.
  6. Add Notes and choose Save.
When to use each

Use Add Relationship when both people deserve full profiles. Use Add to Their Orbit for children, partners, relatives, friends, or pets you want to remember around someone else without turning every mention into a full contact.

Dates and tasks

Remember what matters next

Add Important Date
  1. Open a profile and choose Add, then Add Important Date.
  2. Choose Occasion: Birthday, Anniversary, First met, Passed away, or Custom.
  3. If you choose Custom, enter a Label.
  4. Choose Date. Turn on Year unknown when you only know the day and month.
  5. For First met, add the story under How you met.
  6. Turn on Remind me every year when you want a repeating Apple Reminders reminder.
  7. Choose Save. If Orbari shows Just checking warnings, review them; saving again confirms the date.
Add Task
  1. Open a profile and choose Add, then Add Task.
  2. Enter the Task title, such as Return her ladder.
  3. Add optional Details.
  4. Turn on Set a due date when the task has a deadline.
  5. Choose Save.
Add Gift or Debt

Gift ideas can store Gift, Link, Price, and Status. Debts store Who owes whom, Amount, and Reason. When editing a debt, Settled keeps the debt on the profile but quietly crosses it out.

Sync and sharing

Move data only when you choose

Turn on iCloud + Markdown sync
  1. Open Settings.
  2. Open Sync.
  3. Unlock Orbari if Sync is marked Premium.
  4. Turn on iCloud + Markdown sync.
  5. Check Status and Last sync when you want to confirm it ran.
  6. Use Export now to write a fresh Markdown pass.
Choose a Markdown folder or Obsidian vault
  1. Open Settings, then Sync.
  2. Choose Folder.
  3. Pick a folder you control, such as an Obsidian vault.
  4. Use Default Folder later to return to Orbari's default iCloud Drive location.
  5. Turn on Subcontacts get their own files if you want tracked people and pets exported separately.
Share people
  1. Open a person's profile and choose Share, or open Settings, then Share, then Share people.
  2. Review the People and Connections count.
  3. Leave Include notes and facts off unless you deliberately want to share private details.
  4. Choose Share. On Mac, you can also Save to disk.
Import people
  1. Open Settings, then Share.
  2. Choose Import from a file or Import from vCard or CSV.
  3. Review the preview before anything changes.
  4. For existing people, tick only the details you want to bring in.
  5. Choose Import or Add people.
Settings

Where app-wide controls live

General

Appearance, background tint, accent colour, profile icons, staleness cues, full names in list, remembering options, app icon, and on-device AI status.

Privacy

Lock Orbari, biometric unlock, auto-lock, Change PIN, and Lock now.

People

Custom Fields lets you manage reusable details like Favourite food, Birthday, or any field you use often.

Sync

iCloud + Markdown sync, Markdown folder, Export now, LAN sync options, and Connect to a Mac where supported.

Share

Share people, Import from a file, and Import from vCard or CSV.

Plan

Free people count, Unlock Orbari, Restore Purchases, and premium status.

Check AI availability

Open Settings, then General, then On-device AI. Status can show Ready, Not supported on this device, Turn on Apple Intelligence, Preparing local model, or Requires a newer OS. Manual entry still works when AI is unavailable.

Change the look of Orbari

Open Settings, then General. Use Appearance for System, Light, or Dark; Background tint for the page wash; Accent colour for controls; and Profile icons to choose one or two initials and where those initials come from.

Restore a purchase

Open Settings, then Plan, then Restore Purchases. Your unlock is tied to your Apple Account through the App Store.

Move quickly on Mac

Most Mac shortcuts match the menu bar. If a shortcut is contextual, open a person's profile first.

Troubleshooting

Common fixes

Sync is not updating

Check that sync is enabled, that the same Apple Account is signed in on each device, and that iCloud has had time to catch up. For folder sync, confirm the selected folder is still available.

AI capture is not available

Open Settings, then General, then On-device AI. If the status is not Ready, follow the message shown there. Manual entry, tasks, dates, relationships, and ordinary notes still work without AI capture.

Restore your purchase

Open Orbari settings and use Restore Purchase. Your unlock is tied to your Apple Account through the App Store.
